Coordinator, Training Educational Outreach and Scientific Programs

The Institute’s Training, Educational Outreach and Scientific Programs (TEOSP) team reaches across many areas of the Institute – from creating outstanding training programs in theoretical physics to developing engaging and inspiring programs for high school students and teachers to hosting a busy calendar of conferences, seminars and events.

As the Coordinator, TEOSP you are positioned to provide integral support to program staff, creating the best experience for researchers, students, special guests and teachers. Research and training programs at Perimeter Institute closely follow the academic year, resulting in busier times in late August through September, as well as January and June.

Primary Duties and Responsibilities 

Administrative Support 

  • Respond to and triage general inquiries regarding Training programs
  • Coordinate interviews and onboarding process for Perimeter Training programs
  • Support logistics and troubleshoot challenges relating to: tracking deadlines across multiple programs, coordinating multiple calendars, and liaising with institutional partners
  • Ensure accurate record-keeping within shared folders and database; including data entry when required
  • Work with the Program Manager to coordinate departures and ensure a smooth off-boarding process 
  • Manage master calendar including courses, special events, room bookings and AV logistics
  • Assist with collecting and organizing data for reporting 
  • Provide occasional back-up support for Perimeter Library desk hours (library experience not required)
  • Maintain online educational resource centre by updating files and posting new releases
  • Other projects and duties as assigned

Event Support and Coordination

  • Assist with welcome, orientation, and community building events throughout the year 
  • Assist with conference on-site registration, kits and nametags
  • Build an understanding of relevant audiences and suggest new events and initiatives 

Required Education, Skills and Abilities 

  • Post-secondary education in relevant area of study such as Business Administration or Events Management, or equivalent work experience 
  • Exceptional communication and interpersonal skills
  • Ability to work under pressure with a proactive approach to upcoming deadlines and requirements
  • Developed prioritization and multitasking skills
  • Event planning and execution experience

Desired Competencies

  • Familiarity with databases or content management systems
  • Proficiency in additional languages, written and spoken
  • Experience creating effective surveys and online forms
  • Proficiency in MS Office software, Google Suite of Applications, Adobe Acrobat, and business email best practices are highly valuable in this role
  • Experience working in an academic environment is a highly desired asset
