Facilities Coordinator

Perimeter Institute for Theoretical Physics (PI) is an independent, non-profit, scientific research organization working to advance our understanding of physical laws and develop new ideas about the very essence of space, time, matter and information. Located in Waterloo, PI also provides a wide array of research training and educational outreach activities to nurture scientific talent and share the importance of discovery and innovation with students, teachers and the general public. In partnership with the Governments of Ontario and Canada, PI is a successful example of public-private collaboration in scientific research, training and outreach.

Reporting directly to the Facilities Manager the Facilities Coordinator is responsible for ensuring space, facilities, visitor housing and office furniture solutions are appropriate for current and anticipated needs, including workspaces, meeting rooms, common areas and housing.

Responsibilities include:

  • Ensure all Perimeter spaces are exceptionally well maintained and meet the needs of all PI residents
  • Research and source suitable manufacturers and vendors ensuring the highest quality standards
  • Ensure all purchases are received in excellent condition and follow up with service providers regarding any deficiencies and/or warranty issues
  • Reconcile invoices with purchase orders and liaise with finance to ensure payments are made in a timely manner
  • Provide justification and source new apartments where appropriate negotiating rents and/or upgrades
  • Develop and maintain effective working relationships with apartment landlords and superintendents
  • Inspect and audit all housing units on a regular basis, identifying and rectifying issues to ensure all units meet a sustainable standard
  • Develop implement and maintain an efficient concierge service for PI housing to address visitor requests
  • Support the management of contracts and documentation; track contract renewal schedule, coordinate contract renewal meetings and discussions with Vendors/Contractors
  • Contribute to the short/long term planning, budgeting and  monitoring processes

Requirements:

  • Post-secondary education in project management, supply chain management or related field of study
  • 3 or more years work experience in coordinating facilities activities
  • Experience in requirements analysis, space planning and a flair for interior design
  • Experience in project management is an asset
  • Ability to work with architectural drawings
  • Demonstrated communication, negotiation and persuasion capabilities
  • Proficient in Microsoft Office  (Outlook, Word, Excel and PowerPoint)
  • Valid driver’s license required
